Keep the register where it is already kept
A Google Sheet your office maintains, an uploaded CSV, or rows typed into the app. To a rule they are one thing - a table of plates with your own columns beside them.
What a list is usually called at a location
One concept, three places it can come from
Whichever one you use, the gate treats it the same way - and all three are fast enough to sit between reading a plate and lifting the barrier.
A Google Sheet you already have
Your staff edit a spreadsheet they own, in a tool they already use, from anywhere. Nobody logs into the PC at the gate to add a resident, and the gate reads a copy that is always local.
A file somebody sends you
A CSV or spreadsheet export from a property system, uploaded as-is. Download the template first and it shows you a blocked row alongside an allowed one, so nobody learns that the status column is decoration.
Rows typed into the app
For the eight cars at a small building, or the one van somebody needs through this afternoon. Same table, same lookup, no spreadsheet required.
Your sheet updates the gate. It never holds it up.
If the gate had to ask Google every time a car arrived, then Google having a bad morning would mean your residents sitting at the barrier. So it never does. Your sheet is copied down to the PC at the gate, and the gate asks its own copy.
The check happens at the gate
The copy of your list sits on the PC at the gate and is checked there, in less than a thousandth of a second. That is why a list check can stand in front of a barrier without anybody noticing it.
An out-of-date copy still opens the gate
If Google cannot be reached, the last good copy keeps working and the app tells you it is out of date. A resident locked out of their own building because a spreadsheet service had a bad afternoon is the worse problem to have.
A dropped connection cannot empty your list
If an update comes back empty because the network dropped, that is treated as no answer rather than as an empty list. Your residents do not quietly disappear because the internet flickered.
Refreshed in minutes, or on demand
Lists refresh on a timer measured in minutes, because staff edit a spreadsheet a few times a week. When you have just made a change and want it now, refresh it by hand.
Written by a person, matched by a machine
A register is typed by whoever answers the door, and a plate is produced by a camera. The gap between those two is handled here rather than left as the operator’s problem.
Spacing and dashes do not matter
A 12345, A12345 and a-12345 are the same plate. Nobody transcribing a register into a spreadsheet should have to know which one the camera will produce.
Your columns come with it
A list is a table, not a set of plates. Unit number, valid-to date, resident name, status - anything beside the plate can be read by a condition or sent on in a webhook.
A blank cell is never treated as an answer
If somebody left the country column empty, that row is not treated as a car from a different country. A blank cell means we do not know, not no - which is what you want when the answer decides whether a gate opens.
